This policy explains what personal information You Matter More collects about you, why we collect it, how we use and protect it, and the rights you have over it. We take your privacy seriously, especially health information, which we treat with particular care.

Who we are

You Matter More ("we", "us", "our") is a personal training and online fitness coaching service operated by Henry James, trading as YouMatterMore, based in Huddersfield, West Yorkshire, United Kingdom. For any privacy questions, contact us at henry@youmattermore.co.uk.

We are the "data controller" responsible for your personal data, which means we decide how and why it is used. Where required, we maintain our registration with the UK Information Commissioner's Office (ICO).

The information we collect

Depending on how you use our service, we may collect:

• Account details, your name, email address, date of birth (to confirm you are 18 or over), and password (stored securely and encrypted).
• Enquiry information, when you enquire about coaching, the details you provide such as your goals, training experience, and what you are working towards.
• Health and fitness information, as part of coaching intake, we collect health screening answers (a PAR-Q), injuries, measurements, and lifestyle details. This is "special category" data under UK GDPR and we handle it with extra care.
• Progress photos, if you choose to provide them. These are optional, and we only store them with your explicit consent.
• Training and usage data, workouts logged, meals tracked, programme progress, and similar activity within the platform.
• Payment information, if you subscribe, payments are processed by our payment provider (Stripe). We do not store your full card details on our servers.
• Technical data, basic information such as your IP address, collected for security and to help the site function.

Why we collect it and our legal basis

Under UK GDPR we must have a lawful basis for using your data. We rely on:

• Contract, to provide the coaching or platform service you have signed up for.
• Consent, for optional things like progress photos, and for marketing emails if you opt in. You can withdraw consent at any time.
• Explicit consent for health data, we process your health screening information only with your explicit consent, so that we can coach you safely and responsibly.
• Legitimate interests, for keeping the platform secure and running properly, provided this does not override your rights.
• Legal obligation, where we are required to keep certain records (for example, for tax).

Why we need your health information specifically

We ask health screening questions (a PAR-Q) before coaching so that we can assess whether exercise is safe for you and adapt your training accordingly. If your answers indicate you should seek medical clearance first, we may ask you to do so before we begin. We collect this information purely for your safety and the responsible delivery of coaching. We do not use it for any other purpose, and we never share it for marketing.

How we store and protect your data

Your data is stored on secure servers. Passwords are encrypted. Access to your personal and health information is restricted. Progress photos are stored privately and are only accessible to your coach. We take reasonable technical and organisational measures to protect your data, though no online service can guarantee absolute security.

Who we share it with

We do not sell your data. We share it only with trusted service providers who help us run the service, and only as needed:

• Stripe, to process subscription payments securely.
• Our email provider (Brevo), to send you transactional emails such as enquiry confirmations and account notifications.
• Our hosting provider, who stores the data on our behalf.

These providers act on our instructions and are bound to protect your data. We may also disclose information if required by law.

How long we keep it

We keep your data for as long as you have an account with us, and for a reasonable period afterwards where we need to (for example, tax records). If you close your account or ask us to delete your data, we will do so unless we are legally required to keep some of it. You can request deletion at any time.

Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your data ("right to be forgotten").
• Withdraw consent at any time (for example, for progress photos or marketing).
• Object to or restrict certain processing.
• Request a copy of your data in a portable format.

Cookies and analytics

Our website uses essential cookies to keep you logged in and to keep the site secure. These are necessary for the site to function and do not track you for advertising. If we add optional analytics in future, we will update this policy and, where required, ask for your consent first.

Children

Our service is for people aged 18 and over. We do not knowingly collect data from anyone under 18. If we learn that we have, we will delete it.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it last changed. Significant changes will be communicated to you.
